Start with what your company knows.
Choose the areas you need, add what is already written, then ask the people who know the rest. Here is the order we recommend.
ExampleOur example is Nordwerk Service, a fictional repair company with 25 people in order intake, the workshop and complaints.
Six steps to your first approved rules
Step 01
Choose the areas you need
Create the areas you know you will need yourself. That keeps their names and scope clear from the start.
Nordwerk Service
Nordwerk starts with “Complaints” and “Estimates”.
Step 02
Describe the company
Whoever sets up Brain talks through the business in a first interview. Then confirm the proposed areas and choose a responsible person for each.
Nordwerk Service
Nordwerk’s manager talks for about 15 minutes. Brain proposes seven areas of knowledge.
Step 03
Upload existing documents
Start with instructions, manuals and presentations so the interviews can build on what is already written.
Nordwerk Service
Nordwerk uploads a 12-page workshop PDF. Brain proposes business rules for the “Workshop” area, ready for review.
DOCX, PPTX, PDF, Markdown and TXT, up to 50 pages per document. Images are not supported.
Step 04Business
Sketch your main workflow
With Business, you draw the steps and roles by hand, without connections for now. That shows where work passes from one person to the next.
Nordwerk Service
Nordwerk sketches a repair order: intake, diagnosis, customer approval, repair, return.
Today you draw workflows yourself. Brain does not yet extract them from documents or interviews.
Step 05
Ask the people who know
Look at what is missing, then interview experts for each area or workflow step. Their answers fill gaps in the uploaded knowledge.
Nordwerk Service
Nordwerk’s workshop lead explains when a device should no longer be repaired.
Step 06
Approve, check, connect
Have the responsible people approve the rules. Ask questions in Brain and check the answers, then connect your AI tools.
Nordwerk Service
Nordwerk’s connected customer-chat AI can now use the same approved rules as the team.
